Refund & Cancellation Policy
Operational guidelines governing SaaS plan subscriptions, account cancellation, and refund eligibility on My Online Paper.
Draft for Review — Requires Owner & Legal Approval
This document represents an operational refund and cancellation policy draft prepared for the My Online Paper SaaS platform. Numerical prices, payment gateway selection, and formal merchant accounts remain pending owner determination. These terms are subject to formal legal review and ownership authorization before entering into force.
1. Scope & Commercial SaaS Plans
This policy governs commercial subscription agreements entered into by news publishers and media organizations purchasing software-as-a-service access on My Online Paper:
- Eligible Plans: Commercial tiers described on our Pricing Page (Digital Starter / V1 Edition, Daily Newsroom / Commercial V1, and Publishing Group / Multi-Edition).
- Platform Status Notice: Payment gateway integration, automated recurring billing, and numerical subscription rates remain undecided and not yet activated on the live platform. All current platform access is provisioned under administrative pilot onboarding.
- Tenant Distinction: This policy applies strictly to publisher subscriptions paid to My Online Paper. Individual reader subscriptions, print issue sales, and donations collected directly by client newspapers are governed independently by each publisher's own reader policies.
2. Subscription Cancellation Procedure
Publishing organizations may request cancellation of their commercial subscription at any time:
- Cancellation Method: Account owners may initiate cancellation through the Publisher Admin workspace settings or by transmitting written notice to support@myonlinepaper.com from the registered owner email address.
- Effective Timing: Once processed, subscription cancellation takes effect at the end of the current billing cycle. No further recurring charges will be levied.
- No Mandatory Lock-In: Except where an enterprise master service agreement explicitly specifies a multi-year term commitment, standard SaaS subscriptions carry no mandatory cancellation penalty.
3. Service Continuity & Account Lifecycle Following Cancellation
Upon receipt of a confirmed cancellation request:
- Term Continuation: The publication workspace and public-facing site remain fully accessible throughout the remainder of the prepaid billing period.
- Lifecycle Transition: At the conclusion of the prepaid period, the publication transitions into a managed
suspendedstatus. Public traffic and custom domain routing are paused, while all articles, editions, and editorial archives remain safely preserved in the database. - Data Archival & Export: Publishers maintain the opportunity to request a machine-readable export of their article and media data prior to permanent account archival.
4. Refund Eligibility & Exceptions
Because MyOnlinePaper provides immediate cloud provisioning, computing resources, and storage quotas upon subscription activation:
- Standard Non-Refundability: Subscription fees are generally non-refundable for partial subscription months or unused periods, subject to applicable statutory consumer protections.
- Technical Defect Exception: A pro-rata refund or service credit may be authorized if a major, verified technical failure in platform core infrastructure prevents publication delivery for more than seventy-two (72) continuous hours, and our engineering team is unable to remediate the defect.
- Pre-Activation Inquiries: Prospective publishers are encouraged to utilize our pilot onboarding and review the Live Showcase prior to commercial enrollment.
5. Failed, Duplicate & Unauthorized Charges
In the event that an active payment processor is connected:
- Duplicate Charges: In the rare event of duplicate processing resulting from network latency or payment gateway retry errors, the duplicate amount will be reversed promptly upon verification.
- Unauthorized Transactions: Publishers who detect unauthorized transactions on their commercial accounts must report the incident immediately to our billing desk.
- Failed Renewals: If a scheduled renewal fails due to expired payment instruments, the platform provides a grace period before lifecycle suspension occurs.
6. Refund Processing Timelines
Approved refunds are credited back strictly to the original payment instrument used during enrollment. Processing timelines depend on the issuing bank and payment gateway partner, typically taking 5 to 10 business days following authorization.
7. Consumer Statutory Rights
Nothing in this policy is intended to limit, exclude, or restrict any mandatory statutory consumer rights, cooling-off periods, or statutory warranties that cannot be waived under applicable local or national legislation.
